The company offering B2B services and products had four independent sales departments, and inquiries from the forms went to one place without clear distribution rules. The inability to carry out the lead qualification process in the CRM software and the manual assignment of queries caused organizational chaos, long response times and made it difficult to convert leads.
We designed automation in the CRM system based on the integration of several tools and a central database created by us in Airtable. The new process made it possible to organize the qualification of inquiries, automate their distribution to the appropriate sales representatives and significantly reduce the response time of salespeople.

We have created a central database where all queries from the forms on the website (MQL — marketing qualified leads) go. Thanks to this, it is possible to quickly qualify MQLs without clogging the main CRM software with unverified queries.
Each new MQL is automatically forwarded to the respective sales department based on the type of contact form. The solution eliminates the repetitive process of manually assigning queries and increases conversion with faster response.
We have implemented a rotational algorithm that distributes queries evenly among sellers, taking into account their availability. The system can also remind you of the need to contact the customer and automatically transfer the lead to another person in the event of a lack of response.
After sending the form, the client receives an automatic SMS confirmation of contact, and the merchant receives an instant notification in the messenger. Such automated software reduces response time and generates real time savings in the daily work of the sales team.
